This Privacy Policy describes how techmaker.io ("we," "us," or "our") collects, uses, retains, and discloses your information when you use the Mindli mobile application (iOS and Android), website (mind.li), browser extension (Chrome), and related services (collectively, the "Service"). We are committed to safeguarding your privacy, ensuring transparency in our data practices, and complying with data protection regulations, including the General Data Protection Regulation (GDPR).

1. Information We Collect

We collect information to operate, improve, and personalize our AI-powered learning service.

1.1 Information Provided by You

  • Account Information: Name, email address, and any chosen display name or profile information.
  • User Content (Learning Data): Documents, PDFs, voice recordings, lecture audio, YouTube links, web articles, and other materials you upload for AI processing.
  • User-Created Notes: Text, formatting, and media you create using the rich notes editor.
  • Chat Interactions: Questions and queries you submit when chatting with your uploaded materials.
  • Payment Information: Billing details processed securely by our third-party payment processors (see Section 6).
  • Preferences: Language, theme, notification settings, and learning preferences.

1.2 Automatically Collected Data

We use privacy-friendly, cookie-less analytics that are GDPR compliant and do not require explicit consent. This allows us to collect anonymized usage data, including:

  • Pages visited on our website
  • Time and date of visits
  • Features used within our application
  • Content processing and AI usage metrics
  • Learning activity statistics (flashcard reviews, quiz completions, spaced repetition sessions)
  • Device type, operating system version, and app version
  • Crash logs and performance data (to improve stability)
  • Aggregated performance and error data

We do not collect or store IP addresses, browser fingerprints, or any other personally identifiable information through our analytics on our main site and normal user pages. An exception applies to specific marketing pages, as detailed in Section 1.4.

1.3 App Permissions

We request access to device permissions necessary to enable core features:

  • Microphone: For recording lectures and voice notes.
  • Camera: For scanning documents or capturing content.
  • Photo Library / Storage: For uploading documents and saving generated materials to your device.
  • Notifications: For spaced repetition reminders and study alerts.

You may revoke these permissions at any time through your device settings, though doing so may limit certain features.

1.4 Marketing and Tracking Data

On specific pages used for marketing campaigns, we may collect personal data through tracking pixels and scripts based on our legitimate interests. This data may include:

  • IP address
  • Browser information
  • Interaction with platform features
  • Sample content interactions

When you make a purchase through these pages, we may also collect:

  • Email address
  • Subscription details
  • Marketing campaign attribution

2. How We Use Your Information

We use the collected information for the following purposes:

  • To process and transcribe your uploaded content using AI technology
  • To generate summaries, flashcards, quizzes, podcasts, and other learning materials

2.1 AI Processing

We use your uploaded content and data to:

  • Generate audio podcasts from notes and content
  • Enable chat-based Q&A with your materials
  • Power knowledge base search and retrieval
  • Improve our AI algorithms for better learning outcomes

2.2 User-Created Content

Notes and content you create using the rich notes editor are:

  • Stored securely in your personal account
  • Never used for AI model training without your explicit consent
  • Only processed by AI when you explicitly request it (e.g., generating flashcards from your notes)
  • Fully exportable at any time

3. Data Processing and Retention

3.1 Cloud Processing

Your uploaded content (audio, documents, videos, links) is sent to our cloud backend for processing by third-party AI models solely for content generation and learning material creation. We do not share your personal identification information with these AI model providers.

3.2 Temporary Data Handling

Input files may be cached locally and stored temporarily on our cloud servers during AI processing. Temporary processing data is securely deleted from the cloud after processing is complete.

3.3 Content Storage

Your AI-generated materials (summaries, flashcards, quizzes, podcasts, transcriptions), user-created notes, and learning progress are stored on our secure cloud servers and remain accessible across all your devices (web, iOS, Android, Chrome extension).

3.4 Data Retention Periods

  • Active accounts: Full access to all uploaded content, notes, AI-generated materials, and learning progress.
  • Cancelled accounts: 30 days retention of all learning data and materials.
  • Marketing data: As long as necessary for business purposes.

4. Legal Basis for Processing Personal Data

We process your personal data based on:

  • Contractual Necessity: To provide our AI-powered learning services and fulfill our contractual obligations.
  • Legitimate Interests: For improving our AI models, marketing activities, and enhancing user experience.
  • Legal Obligations: To comply with applicable laws and regulations.
  • Consent: Where specifically required by law.

5. Data Storage and Security

We implement industry-standard security measures to protect your data, including:

  • Encrypted storage of uploaded content and AI-generated materials
  • Secure processing of audio, video, and document data
  • Regular security audits and updates
  • Restricted access to personal information

No method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee its absolute security.

6. Third-Party Services

6.1 Payment Processing

Payments for Mindli are processed through the following channels depending on how you access the Service:

  • Web (mind.li): All web-based payments and subscriptions are processed through Paddle (paddle.com), our merchant of record. We do not store your full credit card details on our servers.
  • Apple App Store (iOS): If you subscribe or purchase credits through the iOS app, payment is processed by Apple. We do not receive or store your payment card information. Apple's privacy policy governs their handling of your payment data.
  • Google Play Store (Android): If you subscribe or purchase credits through the Android app, payment is processed by Google. We do not receive or store your payment card information. Google's privacy policy governs their handling of your payment data.

6.2 Cloud Processing and AI Services

We may utilize third-party cloud services for:

  • AI transcription and content processing
  • Natural language processing and summarization
  • Audio generation for podcasts
  • Data storage and backup
  • Performance optimization

6.3 Marketing and Analytics Services

6.3.1 Meta Platforms, Inc. ("Meta")

We use Meta's services for marketing attribution. Data is transmitted securely based on our legitimate interests in measuring and improving marketing efforts. Meta processes data according to their Data Processing Terms and Privacy Policy.

Meta has certified its participation in the EU-U.S. Data Privacy Framework for transfers of European data to the United States.

6.4 Sharing Your Data

We may share data with trusted service providers (e.g., payment processors, AI processing partners, analytics platforms) only as needed to operate the Service. These providers are contractually obligated to keep your data safe and use it only for the purposes we specify.

7. Your Content and Data

7.1 Content Ownership

You retain all rights to:

  • Content you upload (PDFs, recordings, links, documents)
  • Notes you create using the rich notes editor
  • AI-generated materials (summaries, flashcards, quizzes, podcasts)
  • Your learning progress and review history

7.2 Data Usage for Improvement

We may use anonymized, aggregated data to:

  • Improve our AI transcription and summarization algorithms
  • Enhance learning material generation quality
  • Optimize processing speed and accuracy
  • Develop new features

8. Your Rights

8.1 Rights Under GDPR

You have the right to:

  • Access: Obtain a copy of your personal data and learning materials.
  • Rectification: Correct any inaccurate personal data.
  • Erasure: Request deletion of your personal data, uploaded content, notes, and generated materials.

8.2 Learning Data Rights

In addition to standard rights, you can:

  • Export all uploaded content, notes, and AI-generated materials
  • Download your flashcard decks, quizzes, and summaries
  • Request deletion of all learning data and progress
  • Access your complete spaced repetition and review history

8.3 Account Deletion

You can permanently delete your account and all associated data through the in-app account deletion feature:

Steps for Deletion:

  1. Go to the app's Settings.
  2. Navigate to "Account Management."
  3. Select "Delete Account."

Effect: Initiating this process results in the permanent and irreversible deletion of your entire account, all uploaded content, notes, AI-generated materials, learning progress, and all associated cloud data.

8.4 Deleting Individual Content

You can selectively delete individual notes, uploaded content, or AI-generated materials from within the app. This only deletes the specific items selected.

8.5 Opt-Out

You may opt out of optional data collection (e.g., analytics) through your account settings or device settings.

9. International Data Transfers

9.1 Data Processing Agreements

We maintain agreements with our cloud providers and AI processing partners that include:

  • Standard Contractual Clauses (SCCs)
  • Technical security measures
  • Data processing restrictions

9.2 Cloud Infrastructure

Our data processing and storage infrastructure is hosted in:

  • European Union (Primary)
  • United States (Backup)
  • Other regions as needed for performance

Your information, including personal data, may be transferred to and maintained on computers located outside of your state, province, or country where data protection laws may differ.

9.3 Data Privacy Framework

For transfers to the United States, we rely on:

  • EU-U.S. Data Privacy Framework
  • Standard Contractual Clauses (SCCs)
  • Additional technical safeguards

10. Children's Privacy

Our Service is not intended for users under 13 years of age. Users between 13 and 18 must have parental or guardian consent. We do not knowingly:

  • Allow accounts created by children under 13 without verifiable parental consent
  • Process content uploaded by minors without appropriate consent

If we discover data collected from a child under 13, we will:

  • Delete the data immediately
  • Remove any uploaded content and generated materials
  • Delete AI-generated learning materials
  • Terminate the account

If you believe a child under 13 has provided us with personal data, please contact us immediately to have it removed.

We may update this policy to reflect:

  • New AI processing features and capabilities
  • Changes in data processing methods
  • Updated regulatory requirements
  • Improved security measures
  • New platform features

We will notify you of significant changes through:

Changes become effective 30 days after posting unless otherwise stated.
